When EverybodyFights opened their first location in Boston in 2013, there was a simple vision: Give people everything they need for their fitness journey, under one roof, so they never have to look elsewhere. Today, that expansion has continued to include everything from boxing and bags to yoga and cycling, plus personal training and a full recovery lounge with saunas and cold plunges.

“The whole vision of our brand was to see if we could touch people,” says David Bergeron, COO. “Give them an experience to feel like that second home and the ability to try new things without taking too much risk.”

The Challenge: Running a One-Stop Fitness Brand at Scale

Delivering “everything under one roof” is a significant operational undertaking. EverybodyFights encompasses the volume and schedule of several studios in one building (across two locations), each with its own rhythm. “It was very clear that [we] could not be one-dimensional,” David says. “One room could not only do one thing.”

That variety involves a lot of coordination. Class schedules, personal training sessions and recovery bookings all have to move around each other, across multiple modalities and areas within the same building without colliding, and without the staff losing track of who’s supposed to be where. On top of that, the team has to coordinate a number of vendor services, like those providing cleaning, beverages and towels.

The personal training side alone has grown into a sizable operation: Roughly 200 clients across two locations, with the training team about doubling in the past couple of years.

“To successfully run classes, personal training and recovery all under one roof, it definitely takes very organized staff, quite a big staff too.”   – Grace McNamara, Head of Personal Training

These challenges would be significant even with one location, but EverybodyFights has two (Financial District and Seaport) with a third set to open in Charlestown in January. The team needed a one-stop system to coordinate classes, training, and recovery across existing locations and all the ones to come.

One Team, One Platform

EverybodyFights runs on Mariana Tek for all their end-to-end needs, keeping operations running smoothly at each location across all class types, personal training, and recovery.

“Mariana Tek is a really, really essential piece of everything we’ve got going on. It is exactly how people check in. It is how our billing software works. It is how the day-to-day check-in happens for the member. It also handles all of the UX experience and that is really crucial.” – David Bergeron, COO

The newest piece of the workflow is Mariana Tek Appointments, which brought personal training bookings onto the same platform as classes and recovery. For a business built around giving members options without friction, this closed a real gap in the customer experience.

“It’s been really awesome since we’ve been able to streamline everything onto Mariana Tek… Now it’s much simpler, because people are already all set up on Mariana Tek. There’s no extra step on the member side.” – Grace McNamara, Head of Personal Training

The change extends to the training floor, too. Trainers using the Mariana Tek Biz App can lock in a client’s next session from their phone, mid-appointment, rather than sending a follow-up text or waiting to get back to a computer.

Consolidated appointment booking has led to EverybodyFights’ strongest quarter in seven years.

Data That Runs the Whole Business

With classes, training, and recovery all feeding the same system, EverybodyFights’ leadership gets one clear view into how the business is performing.

“I need to be able to look at the data and make really crucial decisions sometimes within a day, sometimes within a week, sometimes in a month. I need to see my lagging results and how they line up to my KPIs to design the business for success, but also to pivot my team as necessary.” – David Bergeron, COO

That shows up in the day-to-day retention work, too. Visit frequency starts to slip for a regular member? The team sees it early enough to do something about it, like personal celebrations or challenges. Milestones, like a member’s 100th or 500th class, surface automatically in the app, making celebration a part of their daily member interactions. “It allows us to really shout out that member and make them feel seen and celebrated before or during class,” says Grace.

The real measure of success is what the clients say. We asked a longtime EverybodyFights member why he keeps coming back, 7 years after walking into the business on a whim:

“[EverybodyFights] was something totally different [than other gyms]. I started signing up for the classes. I started getting to know people during the opening of the class. You start talking to other members, you start talking to the coaches afterwards. They’re giving you little pointers, tips. That’s what’s really kept me going all these years.” – Mark Moran, EverybodyFights member since 2019

What’s Next for EverybodyFights?

As EverybodyFights prepares to open its Charlestown location, the team isn’t worried about scaling their systems. “It’s a simple conversation,” David says. “It’s a one-doc startup, duplicate then move everything over… It’s not like you’re starting from scratch every time you go ahead and start a new facility.”

That repeatability is what makes “everything under one roof” a promise EverybodyFights can keep at every location it opens.
